Privacy Policy – Medi Notes

This Privacy Policy describes how Flying Ants Studios and Game Services Private Limited
(collectively, “Flying Ants Studios”, “we”, “us”, or “our”) collects, uses, stores, and shares information
when you use the Medi Notes mobile application (the “App”).
Medi Notes is a personal clinical case journal for doctors and surgeons. It is
not a hospital electronic health record (EHR), not a patient-facing app,
and not a medical device. It does not diagnose, treat, cure, or prevent any disease or
medical condition.
By creating an account or using the App, you agree to this Policy. If you do not agree, please do not use the App.
1. Who this App is for
Medi Notes is intended for licensed or training clinicians (doctors and surgeons).
The App is not directed to children or to patients. You must be at least 18 years of age to use Medi Notes.
2. Information we collect
Depending on how you use the App, we may collect the following:
2.1 Account and profile information
- Phone number (used for OTP sign-in via Firebase Authentication)
- Profile details you provide (such as name, email address, specialization, hospital/clinic, profile photo)
- Authentication identifiers (for example, Firebase user ID)
2.2 Case and clinical journal content
- Case details you enter (for example patient identifiers you choose to record, clinical history, examination,
diagnosis, treatment, surgery details, follow-up notes, tags, and dates)
- Attachments you upload (photos, notes, PDFs, and similar files)
- Drafts and locally cached case data stored on your device
Case content may include health-related or sensitive information about individuals you document in your practice.
You are responsible for entering only information you are allowed to store and for complying with your professional,
institutional, and legal obligations (including patient consent and de-identification where required).
2.3 Sharing and collaboration
- Records of cases you share with other Medi Notes users, and shares you receive
- Recipient identifiers (such as user ID / phone / email used to find a colleague)
- If you use the contacts feature, the App may access your device contacts on your device so you can select a colleague;
we use this to help you find registered users and do not sell your contacts list
2.4 Device permissions and local features
- Camera and photo library (to attach images to cases or update your profile photo)
- Contacts (optional, for finding colleagues to share with)
- Biometric unlock (Face ID / fingerprint), if you enable it — biometrics are processed by your device’s
system; we do not receive your biometric templates
2.5 Usage, diagnostics, and analytics
- App usage events, crash/diagnostic data, and device/app version information
- Firebase Analytics and related Firebase services (as configured)
- App Check / integrity signals used to protect the App from abuse
2.6 Subscriptions and purchases
- Subscription status and purchase entitlements managed through Apple App Store / Google Play and RevenueCat
- We do not receive your full payment card details; billing is handled by the store
2.7 Feedback
- Messages you submit through in-app feedback, along with your user ID and timestamp
3. How we use information
We use information to:
- Create and secure your account (including OTP verification)
- Provide core App features: creating, editing, storing, searching, and viewing cases
- Upload and display attachments
- Enable sharing with colleagues and revoking access
- Provide free-tier limits and Pro subscription features
- Improve reliability, security, and performance (analytics, crash diagnosis, abuse prevention)
- Respond to support requests and feedback
- Comply with law and enforce our terms
We do not sell your case content for advertising. Medi Notes is not an ad-supported game product.
4. How we share information
We may share information with:
- Other Medi Notes users — only when you share a case with them; they can see the shared case content until you revoke access
- Service providers that help us run the App, including:
- Legal / safety — if required by law, legal process, or to protect rights, safety, or security
- Business transfers — in connection with a merger, acquisition, or sale of assets, subject to appropriate protections
5. Data storage and international transfers
Case and account data are stored using cloud services (including Google Firebase).
Where data is transferred internationally, it is processed by our providers under their terms and applicable safeguards.
By using the App, you understand that your information may be processed in other countries.
6. Retention
We retain account and case data for as long as your account remains active and as needed to provide the App.
If you delete cases or request account deletion, we will delete or de-identify associated data within a reasonable period,
except where we must retain information for legal, security, or dispute-resolution purposes.
Local drafts and caches on your device remain until cleared by you or uninstalled with the App.
7. Security
We use reasonable technical and organizational measures to protect data (including encrypted transport to our cloud services,
authentication, and access controls). No method of transmission or storage is 100% secure. You should protect your device
with a passcode/biometrics and avoid sharing your phone with unauthorized persons.
8. Your choices and rights
You may:
- Update profile information in the App
- Delete individual cases or revoke shares
- Turn biometric lock on or off (device biometrics only)
- Control OS permissions (camera, photos, contacts) in device Settings
- Request access, correction, or deletion of personal data we hold about you by emailing us
9. Children’s privacy
Medi Notes is not intended for anyone under 18. We do not knowingly collect personal information from children.
If you believe a minor has used the App, contact us and we will take appropriate steps.
10. Important disclaimers
- Medi Notes is a personal productivity / clinical education journal for clinicians.
- It is not a substitute for official medical records systems required by your hospital or regulator.
- It does not provide clinical decision support, diagnosis, or treatment recommendations.
- You are solely responsible for the accuracy of content you enter and for lawful handling of any patient-related information.
11. Changes to this Policy
We may update this Policy from time to time. We will post the updated version with a new “Last updated” date.
Continued use of the App after changes means you accept the updated Policy.
